TutorsNI is run by Tutors NI Ltd, a company in Northern Ireland. We are the data controller for the personal data described here. Contact us about your data at info@tutorsni.com.

• Contact enquiries: your name, email, phone, your child's stage and subjects, preferred format and contact method, and your message. We use these to reply and arrange tuition.
• Free lesson bookings: your name, email and phone, your child's name and year group, the subject, preferred date and time, and any notes. We use these to arrange the consultation and first lesson.
• Free trial sign-up: your email and phone, used to contact you about your free trial lesson.
• School partnerships: your name, role, school, email, phone, the programmes you're interested in and your message, used to discuss programmes with your school.
• Reviews: your first name, surname initial, town, level, subject, rating and review. With your consent, your first name, initial and town are shown publicly with the review.

To protect our forms from spam we also briefly record technical details such as a hashed IP address and submission time.

We handle enquiries and bookings to take steps at your request before entering into a contract, and to deliver tuition under that contract. We rely on legitimate interests for school partnership enquiries and for preventing spam and abuse, and on your consent to publish reviews. You can withdraw consent at any time.

Information about children is provided by their parent or guardian. It is used only to arrange and deliver tuition, is never published or shared publicly, and is accessed only by the educator assigned to the child and our safeguarding lead. All of our educators are AccessNI checked, and TutorsNI has a named safeguarding lead.

We use trusted providers who process data only on our instructions: our website host (Lovable, which runs on Cloudflare), Supabase (database hosting), our transactional email provider (to send notification and confirmation emails), and Google Workspace (our email inbox). If you message us on WhatsApp, WhatsApp (Meta) also processes that conversation. We do not sell your data.

Enquiries that don't become bookings are deleted after 12 months. Student records are kept for the duration of tuition plus 12 months.

Under UK GDPR you can ask to access, correct or delete your data, restrict or object to how we use it, and ask for a copy to take elsewhere. To make a request, email info@tutorsni.com. We'll respond within one month.

If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
